We highly value your privacy and make this policy easily available throughout our website to assist you in understanding the handling of information in the course of using this site and in the course of dealing with The Rushcliffe Golf Club.

Sharing of Data

‘All data held by us is never shared with another 3rd party unless completely necessary for the purposes of playing golf. We do not sell or rent your contacts to another party’.

Collecting Data

As part of certain booking process we need/are required to collect certain data to process you’re booking. Throughout the booking process we take steps to ensure that it is safely stored and not accessed improperly. 

Member's contact details which contains Name, address, email address and phone number are also stored on a separate club system which is securely hosted in the UK which in turn has signed off that it is GPDR compliant. This is used to communicate with our members in respect of the services we offer and any special offers we might have. Contacts/emails from this source are sent under the legitimate interest basis for processing.

Each and every email sent out has a clear unsubscribe button should you no longer want to receive emails from us. Please note it takes up to 5 working days from hitting that button for your name to be removed. Alternatively you can always email manager@rushcliffegolfclub.co.uk or call 01509 852959 and we will remove your name without question.

Please note that emails are not a secure means of transfer of information so please do not send sensitive information by email.

How Long Do We Store Data?

All data is securely destroyed as soon as we are not required to keep it. Club financial records are kept for 3 years in paper form and 7 years electronically as required by law.  This includes how and when members paid their subscriptions.  The storage of this information in this way is a legal requirement.

Data held in our club systems is held until the individual resigns as a member of the Club at which point we will remove any remaining data after 12 months. There is a clear unsubscribe button on every email for anyone wishing not to be contacted.

Right of Access

You have the right of access to any data held by us. We ask this is done in writing or by email for the sake of clarity on both sides. We have 30 days under the GPDR regulations to facilitate access to the data. We would normally be able to do this much quicker than the legally required period. All requests for access will be acknowledged with 1 working day of receipt. We will require full and proper identification such as a passport to process such a request.

You have a right to have the data erased unless it is required to be kept to comply with the law.

You have the right to have any information which demonstratively wrong corrected.

You have the right to object or restrict processing of information unless we are require to do so by law. 

Data Breach

We have systems in place to deal and limit any breach of data whether it be in the form of hard data (files) or digital data. We are in constant communication with our IT suppliers to access if there are additional steps that we should take to improve security.

Should such a breach occur and there be a reasonable expectation that personal data has fallen into wrong hands we will follow the following steps.

  • Fully assess the risk in particular looking at if there any significant risk to personal data
  • Immediately work with our IT team to eliminate or reduce the risk.
  • Inform the IOC as required by law.
  • Assess the potential risk to anybody on our data list.
  • Inform that list in a timely fashion of any risk and give best advice as to what steps to take to limit the risk.
  • Work with IOC and our IT providers to ensure no further breach can occur.

Staff Training

All staff members receive regular training in respect of data security concerning both digital and hard copy data.
